Team

The people who can sign in to the Toolbox. Add someone's email and role; they sign in from the side panel's settings, and the Toolbox emails them a code. Admin: every tool except Tech Assist, plus these settings and the team. Service advisor: every tool except Tech Assist, but not settings or the team. Technician: the maintenance check and Tech Assist. Changes here take effect right away.

Repair info

Buttons under the VIN in Tekmetric's vehicle sidebar. Each opens the site in a new tab with the VIN copied, ready to paste into the site's VIN box (Car-Part.com searches by year, make, and model, so it just opens).

Oil change sticker

An Oil change sticker button on each repair order, next to the Adapt Pro Toolbox button. It fills in the sticker from the repair order (mileage, oil, viscosity) and prints it. Made for a Brother VC-500W with CZ-1005 label rolls: in Chrome's print window, choose that printer, set margins to None and scale to 100%.

Maintenance

Intervals

Fill in miles, months, or both; whichever comes first makes it due. Match terms help find past jobs with different names, like "R&R plugs" for spark plugs. Only when limits it to certain vehicles, like "AWD or 4WD".

    Due soon

    Canned jobs

Use the exact name from Tekmetric's canned jobs, so Add to estimate finds it in Tekmetric's search. Price is shown to the service writer. To bring in all of them, export canned jobs from Tekmetric as a CSV and use Import Tekmetric CSV. New jobs are added, prices are updated, and your links stay as they are.

Paste a list of canned jobs

One per line, name then price, like BG Brake System Service, 175. Price is optional.

      Vehicle answers

When the maintenance check isn't sure a service applies, or gets it wrong, the side panel lets you answer for one vehicle or for every car of that model. Services a customer had done somewhere else, recorded with Done elsewhere, are saved to that vehicle too. The Toolbox's own answers are here too: when a service only applies to some vehicles (a timing belt, say), it decides once for each model and engine and saves that, so the next vehicle like it isn't asked. Your answer always wins over the Toolbox's. All of them are listed here. Removing one takes effect right away; you don't need to save.

        Repair order audit

        Parts pricing and audit rules

        Check part prices against

Copy these from Tekmetric (Shop Settings, Parts Matrix) so the audit can catch prices that were changed. Each part is checked against the matrix for its kind: tires, batteries, BG, inventory, brakes, or OEM, and Standard for everything else. When more than one could apply, the lowest price counts.

Compare these with what Tekmetric shows for the same cost to make sure the matrices match.

Flag these RO fields when they're empty

            Fluid units

Fluids are counted in quarts unless they're listed here. Enter words or part numbers for fluids you sell in other units, separated by commas. The audit converts them to quarts when it checks quantities against Tekmetric's capacities, and rounding up to a whole container is fine. Whole words only: "GL" matches a part numbered "GL Gear Oil", not "GL75w140".

            Labor rates

Copy these from Tekmetric (Shop Settings, RO Settings, Labor Rates). The audit flags any labor line whose rate isn't one of these, or one of these raised by the labor matrix. Mark a rate Check when used to have the audit point out every line that uses it, limit it to certain jobs by ticking them under Canned jobs (or typing names under Only for jobs named, like oil change), or Only for vehicles to limit it to certain makes or engines (like diesel, BMW, Audi for a diesel / euro rate). Separate names with commas or "and"; singular or plural both work.

            Labor matrix

Copy this from Tekmetric (Markups, Labor Markup, Labor Matrix). For a labor line's hours, the rate should be the labor rate times the multiplier. The audit flags lines where the matrix wasn't applied.

            Warranty

The audit flags a job that redoes a repair your shop did on the vehicle while it's still under your warranty, from Tekmetric's Job History. Each warranty covers jobs whose names include its words; repairs none of them cover get All other repairs. Maintenance services, inspections, and diagnostics carry no warranty. Leave Miles blank for time only.

            Priority order

Your 4 priorities, in order. Each has a name (what the Toolbox calls it) and a tag (the text added to the start of job names in Tekmetric's Reorder Jobs window, where buttons 1 to 4 follow this order). The order is what counts: 1 is why the customer came in (Presentation Prep presents these first, with approved jobs), 2 is the most urgent, 3 next, and 4 is future maintenance. A job without a tag: anything on your maintenance list is 4, unless its inspection finding is red (2) or yellow (3). Tick Must-do on the priorities the Job selling window's Must-do button picks. Tick With approved on the priorities Presentation Prep shows in its first group, together with the jobs already approved, under one subtotal; every other priority gets its own subtotal.

Old tagsTags your shop used to use. Jobs still carrying one count as the priority you pick, and in Reorder Jobs, tapping that priority swaps in the current tag.

Presentation Prep: jobs to leave out

Jobs Presentation Prep leaves out of the script entirely, like a free Quick Check inspection: no explanation, no "why," and they aren't sent to the AI. A job is left out when its name contains one of these (its priority tag and capitals don't matter).

            Backup and change history

Every save keeps the version before it, with who saved and what changed, for the last 30 saves. If something gets deleted by mistake, put an earlier version back from the list. Download backup saves everything on this page to a file on your computer; Restore from file loads one back (the version you replace stays in the history).

            Export and import

Export every setting on this page (shop details and logo included) to a file, to keep as a backup or to set up the Toolbox at another shop location. Import loads one back in; nothing changes on the server until you save.
